RUBI AI — AI Workflow Automation

Automation should survive more than one conversation. RUBI records tasks and execution checkpoints, separates scheduled work from immediate requests and preserves approval boundaries when a workflow reaches a sensitive step.

Beyond a conversation

A useful workflow needs to remember where it stopped. Otherwise a retry can repeat a send, skip an approval or claim success after a partial failure. RUBI uses durable work records and bounded execution, with claimed steps and recorded provider results. Recovery is conservative when the previous external outcome is uncertain.

Schedule an authorized task and monitor its result

  1. 1

Choose an available task action and an optional start time.

  2. 2

Store the task with its owner and permission requirements.

  3. 3

The runtime considers it eligible only after the scheduled start.

  4. 4

Inspect its status and evidence; cancel or use Emergency Stop when needed.

Available controls and recorded evidence

Operator X supports scheduled starts up to 365 days ahead. Email sends claim an idempotency key before contacting the provider, and confirmed sends retain the message ID. Persisted workflow checkpoints and task events support review instead of relying on the assistant’s description of its own work.

Connections and operating conditions

A scheduled start is not a guarantee of execution at an exact second: the runtime, account connection and required device must be available. Follow-up reminders do not imply automatic follow-up delivery. A general workflow example does not activate a new tool or integration.

Security and permissions

Workflow execution rechecks the owner policy and revocation. Approval steps remain approvals, not model-generated permission. The task console keeps failed, waiting and completed work separate so recovery does not silently manufacture success.

Questions about AI Workflow Automation

Can a retry send the same message twice?

Outbound sends are protected by an owner-scoped idempotency key. Unknown delivery outcomes are not blindly replayed; a provider message ID is required to confirm a send.

Can a workflow approve its own sensitive actions?

No. A workflow can prepare work and wait for approval, but a model cannot grant itself access or activate an unapproved skill.
